Job Description:

The Receiving Coordinator is responsible for managing and organizing incoming shipments, verifying their contents, ensuring materials are properly labeled and stored, and maintaining accurate receiving records. This role helps keep materials moving efficiently through the warehouse and into production while supporting productivity, accuracy, and continuous improvement.

What You’ll Do:

  • Receive & Verify: Receive incoming shipments, including UPS, freight, and large machinery, while verifying quantities, contents, condition, and documentation for accuracy.
  • Process & Document: Enter receiving information into the ERP system accurately and within established timelines. Maintain complete traceability and documentation for all received goods.
  • Coordinate Material Flow: Organize, label, stage, and coordinate the placement or delivery of received materials to ensure efficient warehouse operations and production flow.
  • Maintain Warehouse Organization: Keep the receiving area organized and ensure materials are properly identified and staged according to Warehouse Manager standards.
  • Communicate & Collaborate: Work closely with Procurement, Production, Planning, Warehouse, vendors, and suppliers to resolve receiving discrepancies and keep materials moving efficiently.
  • Identify & Improve: Help identify recurring receiving, vendor, or material-handling issues and participate in continuous improvement initiatives to improve efficiency, accuracy, and workflow.
  • Support Production: Help prevent delays by ensuring materials are received, processed, and made available to the appropriate departments in a timely manner.
  • Maintain Accuracy & Compliance: Follow company safety procedures and shipping and receiving requirements while maintaining a high level of accuracy in shipment, invoice, and inventory records.

Qualifications:

  • High school diploma or GED (associate or bachelor's degree in logistics, supply chain management, or a related field is a plus)
  • Proven experience in warehouse operations, shipping/receiving, or inventory management
  • Required to obtain forklift certification through the company.
  • Familiarity with warehouse management systems (WMS) and inventory tracking software
  • Knowledge of safety and compliance regulations related to shipping and receiving
  • Ability to lift and move heavy packages (as required by the job)
  • Consistently demonstrate professionalism in communication, appearance, and work ethic.

Desired Skills:

  • High degree of accuracy for verifying shipments, invoices, and inventory records.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Ability to coordinate with vendors, suppliers, and internal teams for smooth operations.
  • Proficiency in data entry, Microsoft Office (Excel, Word), and warehouse software.
  • Work effectively with warehouse staff and may train or supervise other employees.
  • Basic math skills for inventory counting and verifying orders.
  • Ability to stand for long periods, lift packages, and work in a warehouse environment.
